The Claude
Business System

Set up your AI business partner the right way.
Not just another tool. An actual system.

Set aside about 90 minutes. By the end, Claude will know your business better than most people know their own.

By the time you finish this system, you'll have:

🧠A Business Brain that gives Claude real context about your business
⚙️Claude set up to write in your voice from the very first message
📁Projects organized so Claude is always working on the right thing
🎁Four free goodies inside that save you hours every single week

Stop. Before you import anything

If you're moving from ChatGPT to Claude, the first instinct is to just... migrate everything over. Export your history. Import your chats. Pick up where you left off.

Don't do that.

All you'd be doing is dragging the mess with you. The random conversations. The half-finished prompts. The three different versions of your bio you tried and abandoned. That clutter doesn't become useful just because it's inside a different tool.

Here's your real opportunity.

Claude is not ChatGPT with a different logo. It thinks differently. It writes differently. It responds to context differently. And that means you have a genuine chance to start intentionally — to set Claude up as an actual business partner from day one, instead of treating it like a fancy autocomplete you argue with every morning.

That's what this system is for. By the end, Claude will know your business, write in your voice, and be organized around your offers. Not just waiting for you to paste a prompt.

But here's the thing — if you've been working inside ChatGPT for a while, it may already know a lot about you. Your voice. Your offers. Your clients. You don't have to leave all of that behind. You just don't want to drag it over blindly.

The prompt below asks ChatGPT to pull that knowledge out in one clean, structured file. Review what it gives you. Edit anything that's off. Then use the accurate pieces to fill in your Business Brain template — that's Gift #1 coming up in the next section. Only bring what's actually true. Think of it as a head start, not a handoff.

Paste This Prompt Into ChatGPT

Copy and paste it into ChatGPT. Review what comes back carefully — then bring the accurate pieces into your Business Brain.

1

Here's the thing about AI. It's only as useful as the context you give it.

Give it clutter, you get clutter back. Give it clarity, and suddenly it's producing things that actually sound like you, for your people, about your real offers.

Your Business Brain is the master context document that makes Claude work the way you actually want it to. It's not a prompt. It's the foundation everything else is built on.

What goes into your Business Brain

  • Brand VoiceHow you naturally talk. Your tone, your phrases, the words you'd never say.
  • Ideal Client AvatarNot a demographic. A real person with real frustrations and real goals.
  • Offer LadderWhat you sell, what it costs, what problem it solves, and how your offers connect.
  • Master PromptThe condensed version of your Business Brain. This lives in Claude's custom instructions OR gets uploaded to every project. It's what makes Claude "know" you — your business, your offers, how they connect, and who they're for — without you re-explaining yourself every single time.
Coming from ChatGPT? If you ran the prompt from the previous section and got useful context back, this is where it goes. Match each piece to the right section of your Business Brain. Only bring over what's actually accurate. The template below will show you exactly where everything lives.
🎁 Gift #1

The Business Brain Template

Don't start from a blank page. This is the exact template I give every new member. Fill in what you know. Leave the rest for later. It walks you through every section so you're not guessing what Claude actually needs from you.

📄 Get the Template
🌱 Inside AI Skool of Business, there are bots that build every section of your Business Brain with you. Viola Voice captures your brand voice. Market Maven builds your ICA. Octavia Offers maps your offer stack. Professor Promptkins turns it all into your Master Prompt. If you want the guided version, that's what the community is for.

Claude has a full settings area that most people click right past. Spending 15 minutes here is one of the highest-leverage things you can do before you ever start using it for real work.

Here's what to set up and why each one matters.

⚙️ Personalization — tell Claude who you are

Go to Settings → General and find the field: "What personal preferences should Claude consider in responses?" This applies to every conversation you have with Claude. → Go there directly

This is also the perfect place to paste your Master Prompt. Once it's in here, Claude walks into every conversation already knowing your business, your voice, and how you like to work.

  • Who you are and what your business does
  • Who you serve — your ICA in plain, specific language
  • Your tone and personality (warm, direct, no corporate speak, etc.)
  • Words, phrases, or styles you never want Claude to use
  • Your offers and how they connect
  • How you want responses formatted — length, structure, bullet style

🔒 Privacy — know what you're sharing

Go to Settings → Privacy to review your data settings. My recommendation: turn both of these off.

Location metadata
Allows Claude to use your city/region to improve Anthropic's products. Not necessary for your work and not something most business owners need on.
Help improve Claude
Allows Anthropic to use your conversations and coding sessions to train AI models. If you're sharing business strategy, client info, or anything sensitive, keep this off.

🧠 Memory — let Claude remember you

Go to Settings → Capabilities and turn on both memory toggles. → Go there directly

This allows Claude to remember things across conversations so you don't have to repeat yourself every time you start a new chat. It gets noticeably better the more you use it.

A note on importing memory from ChatGPT You'll also see an option to import memory from other AI providers. Rarely a good idea. ChatGPT memory is often a mix of useful context and random noise from thousands of conversations. It's much cleaner to start fresh and let Claude build an accurate picture of you — which is exactly what the prompt earlier in this guide helps you do intentionally.

🔗 Connectors — make Claude actually useful across your business

Go to Settings → Connectors and connect the tools you already use. This is where Claude goes from a smart chat tool to something that can actually reach into your work.

📅Google Calendar — schedule, find gaps, prep for meetings
📧Gmail — draft, summarize, and organize your inbox
📁Google Drive — reference docs without copy-pasting
💬Slack — summarize threads, draft messages, catch up fast
Asana / Jira — manage tasks and projects from the chat
🎨Canva — create and edit designs without leaving Claude

You don't need to connect everything. Start with the one or two tools you use most and see how it changes your workflow.

🌱 Not sure what to write in your preferences? Professor Promptkins is a bot inside AI Skool of Business that builds your Master Prompt with you from scratch. Takes about 15 minutes and you'll have something solid to paste straight into Claude's settings.

Claude Projects are folders, but smarter. Every file you upload into a project is context Claude automatically pulls from every time you start a new conversation inside it.

No more re-explaining your voice. No more copy-pasting your offer details. No more "for context, I'm a coach who works with..." at the top of every message.

But here's where most people mess this up.

❌ Don't do this

Organize by task

"Content Writing"

"Email Templates"

"Lead Magnet Ideas"

✅ Do this instead

Organize by subject

"My Group Coaching Program"

"Client — Sarah's Brand"

"My Membership Community"

When your project is built around the offer or client, everything inside it is connected. The content, the emails, the sales page, the lead magnet — they all serve the same thing, so they all live together.

Create your first project

1

Open Claude and find "Projects" in the left sidebar

Click it, then hit + Create Project in the top right.

2

Name it after the offer or client — not the task

Example: "Group Coaching Program" or "Client — Peak Fitness" — not "Lead Magnet Builder."

3

Upload your context files

Find the Project knowledge section on the right side of the project page. This is where you add files.

What to upload to each project

You have two options: upload your entire Business Brain document so Claude has full context, or upload just the sections that are relevant to this specific project. Either works — just be intentional about it.

  • Your Master PromptYour business summary — who you are, what you sell, who you serve, and how your offers connect. This gives every project a strong umbrella of context so Claude understands the full picture, not just the one task at hand.
  • Offer-specific detailsWhat this offer is, what it costs, who it's for, and what transformation it delivers. The more specific, the better the output.
  • Your ICA for this offerNot a generic client description — the specific person this offer is designed for. What they struggle with, what they want, what makes them buy.
  • Brand voice notesYour tone, your signature phrases, and the words you'd never use. This is what stops Claude from sounding like a press release every time it writes for you.

A Claude skill is a set of instructions saved as a file — usually a .md file, but it can also come as a plain text file, a PDF, or a zip folder — that gives Claude a specific, detailed operating system for one task.

Instead of writing a long, detailed prompt every time you want Claude to do something well, you just tell it which skill to use. It already knows what to do.

Think of it like installing apps. You do it once. Then it's just there.

❌ Without a Skill
✅ With a Skill
WritingYou prompt, edit, re-prompt, edit again
WritingSkill already knows the structure, format, and framework
BrandingYou paste your voice, colors, and style every time
BrandingSkill pulls from your brand context automatically
ContextYou re-explain your offer, ICA, and voice every session
ContextYour project has it loaded — the skill just uses it
TimeHours across multiple conversations
Time~15 minutes, one conversation
OutputGeneric draft you have to heavily rework
OutputFinished, branded deliverable ready to use
One project + your context + one skill = a finished, on-brand deliverable in about 15 minutes. Whatever you need to create — that's the formula.

Two ways to install a skill

Option A — Add to a specific project

Best if you want the skill available inside one project, alongside your business docs.

1

Download the skill file

If it comes as a zip, unzip it first. You want the actual file inside.

2

Open your project in Claude

Click into the project, then find the Project knowledge section on the right side of the page.

3

Upload the skill file and you're done

Every new conversation inside that project has access to the skill automatically.

Option B — Add to your Skills Library

Best if you want the skill available across all your conversations, not just one project. Go to Settings → Capabilities → Skills and upload the zip file there. → Go there directly

Quick note: The Skills Library requires Code Execution to be enabled first. Go to Settings → Capabilities and toggle on "Code execution and file creation."

Claude already has skills you can browse Before you even create your own, Claude has a built-in skill directory. Go to Settings → Capabilities → Skills and click the + to explore what's already available. You can install Anthropic-built skills and personalize them to fit your workflow — or use them as a starting point to build your own from scratch. I built one for you below.
🎁 Gift #2

The 10-Minute Lead Magnet Machine

This skill turns Claude into a full lead magnet strategist. It doesn't just write copy. It thinks through topic strategy, format selection, the quick win moment, and the bridge to your paid offer. Then it writes the whole thing — lead magnet and delivery email — in one conversation. Add it to your offer project, start a chat, and tell it what you need.

📥 Download the Skill File
🌱 Inside AI Skool of Business there's a full skill library — carousel writing, email sequences, long-form content, reel scripts, and more. All built to work with your Business Brain so the output sounds like you, not a template.

This one surprises people. Claude doesn't just write text — it builds complete, formatted, branded documents. Google Docs, spreadsheets with working formulas, SOPs, client-facing materials, lead magnets.

You have a conversation, give it context, tell it what you need, and it hands you something you can actually use. That's the whole workflow.

What Claude can build for you

📄Lead magnets, formatted and ready to send
📧Email sequences with proper structure
📋Client welcome packets and onboarding SOPs
📊Spreadsheets with formulas already built in
💰Offer one-pagers and sales page drafts
📅Content calendars, project plans, trackers
The key that makes this work Always have your Business Brain loaded in the project before you ask Claude to build anything. Without that context, you get a generic template. With it, you get something that sounds like you wrote it, for your specific audience, about your actual offers.
🎁 Gift #3

The Simple Claude Workflow Formula

Here's what I want you to notice: this document? Claude built it. The whole thing. Formatted, branded, structured — in under 20 minutes. All I did was give it the right context and add a few screenshots. That's what's possible when your Business Brain is set up and your branding guide is loaded in.

The formula inside — Project + Skill + Idea = Finished Thing — is what this entire system has been building toward.

You know how most AI tools just hand you text? Claude can build you something that works on its own. A quiz that scores itself. A pricing calculator that does the math. A diagnostic tool that asks your audience questions and gives each person a different result based on what they say.

That's an artifact. A live, interactive tool Claude builds for you inside the conversation — and it took me about 10 minutes to describe what I wanted before Claude started building.

You don't need to know how to code. You just need to know what you want it to do.

What people are actually building

🎯Readiness Score Quiz that scores your audience and tells them exactly where they stand — like the one I built for you below
📋Interactive Checklist that tracks progress and unlocks the next step as they go
🗓️Weekly Planner that generates a personalized plan based on their goals and schedule
📓Journaling Jar that serves a new prompt every time — themed to your content pillars
🏆Milestone Tracker clients can fill in to celebrate wins and see how far they've come
📘Mini Course experience that walks someone through your framework step by step
How to ask for one "I want to turn this lead magnet into something interactive — like a click-through experience where the reader answers a couple of questions and gets a personalized result at the end. What would make this more engaging as an artifact?"
